This Health and Safety Policy sets out how Gardeners Poplar manages health, safety and welfare in connection with our gardening and grounds maintenance services. Our aim is to provide a safe and healthy working environment for our employees, contractors, clients, visitors and members of the public who may be affected by our work.

This policy applies to all gardening projects carried out by Gardeners Poplar, including residential, commercial and communal outdoor spaces within our normal service area.

Our Commitment To Health And Safety

Gardeners Poplar is committed to preventing accidents, injuries and ill health arising from our work activities. We will comply with all relevant health and safety legislation and recognised industry good practice. Health and safety considerations form an integral part of our planning, decision making and day to day operations.

Management takes overall responsibility for ensuring this policy is implemented and maintained. All employees and subcontractors are expected to work safely, follow instructions and report any hazards, incidents or near misses immediately.

Responsibilities

Management is responsible for providing suitable health and safety arrangements, including safe systems of work, information, instruction, supervision and training. Management will ensure that risk assessments are carried out regularly and that appropriate control measures are implemented and reviewed.

Employees and subcontractors must take reasonable care of their own health and safety and that of others who may be affected by their actions. They must use equipment correctly, wear the required personal protective equipment and cooperate fully with any health and safety procedures.

Clients have a responsibility to provide accurate information about their garden or site, including any known hazards, restricted areas, underground services or special access requirements. Clients should keep children, pets and other persons away from the immediate work area while gardening activities are taking place.

Risk Assessments And Safe Working Practices

Before commencing work, Gardeners Poplar will identify and assess foreseeable risks related to the site, the tasks and the tools to be used. Risk assessments will consider issues such as uneven ground, trip hazards, working near roads, manual handling, use of machinery, exposure to noise, dust and chemicals, as well as weather conditions.

Based on the findings of each assessment, we will put in place appropriate control measures. These may include modifying the method of work, setting up exclusion zones, scheduling tasks to avoid peak pedestrian times, using mechanical aids, or providing additional protective equipment.

Our gardeners are instructed to stop work immediately if conditions become unsafe and to report the situation to management for further guidance.

Training, Competence And Supervision

Gardeners Poplar ensures that staff and regular subcontractors receive appropriate training relevant to their roles. This includes the safe use of lawn mowers, hedge trimmers, strimmers, blowers and other powered equipment, as well as safe manual handling techniques and correct use of ladders and access equipment where applicable.

Where specialist tasks are required, such as work at significant height or the use of particular chemicals, we will only allocate such work to suitably trained and competent people. New staff will work under closer supervision until they have demonstrated the required competence and understanding of our health and safety procedures.

Tools, Equipment And Personal Protective Equipment

All tools and machinery used by Gardeners Poplar are selected and maintained with safety in mind. Equipment will be inspected regularly and taken out of service if any fault is identified. Guards, safety switches and other protective devices must not be removed or bypassed.

Appropriate personal protective equipment will be provided where required, which may include safety footwear, gloves, eye and ear protection, high visibility clothing, and respiratory protection for specific tasks. Our staff are responsible for using this equipment correctly and reporting any defects or loss immediately.

Chemicals, Substances And Environmental Care

Where gardening work involves the use of fertilisers, weed control products or other substances, Gardeners Poplar will use them in accordance with manufacturer instructions and relevant safety guidance. We will minimise the use of chemicals wherever possible and consider environmentally responsible alternatives.

Products will be stored, transported, mixed and applied safely to prevent harm to people, animals and plants not targeted by the treatment. Areas treated with chemicals will be clearly communicated to the client, including any required exclusion periods.

Site Access, Public Safety And Traffic

When working in gardens and shared outdoor spaces, we will organise our activities to minimise risks to clients, neighbours and the general public. This may include the use of cones or signs, positioning machinery away from footpaths, and temporarily restricting access to certain areas while work is in progress.

Where vehicles are used for loading and unloading tools and materials, particular care will be taken to manage reversing and manoeuvring. Staff will be alert to pedestrians, cyclists and other road users at all times.

Incident Reporting And Emergency Procedures

All accidents, injuries, near misses and hazardous occurrences must be reported to management as soon as possible. This allows us to investigate the causes and take steps to prevent a recurrence.

Our gardeners are briefed on basic emergency arrangements, including summoning emergency services, providing first aid where trained and safe to do so, and making the site safe after an incident. Clients will be informed of any incident on their property that has implications for their own safety or that of others.

Monitoring, Review And Policy Updates

Gardeners Poplar will regularly review this Health and Safety Policy to ensure it remains suitable and effective as our business and service area develop. We will monitor our performance, including feedback from staff and clients, and act promptly on any concerns raised.
